The Plan · Build Trust · Step 22 of 30

Reply to Every Review

Your reviews aren't written for the person who left them. They're read by the next 50 homeowners deciding whether to trust you in their house. And the thing those readers study hardest isn't the five-star reviews — it's how you handle the tough one. A calm, human reply to an angry review does more to sell a nervous customer than a wall of perfect scores.

Reply to every review, good and bad. It signals you're engaged, it feeds Google fresh keyword-rich text, and it lets you control the story on the one review that would otherwise scare people off.

Thank five-stars with the service and the city

Don't just say "thanks." Name what you did and where. That reminds the reader you do that exact job in their town, and it hands Google the keywords you want to rank for.

Strong

"Thanks, Maria! Glad we cleared that grease-clogged kitchen line in Round Rock and got you flowing again same-day. Appreciate you trusting us — call anytime the drains act up."

Weak

"Thank you for the 5 stars! We appreciate your business."

De-escalate the negative — you're writing to the audience

Never argue, never get defensive, never blame the customer. Acknowledge, take it offline, and stay calm. The angry reviewer probably won't come back. The 50 people reading over their shoulder will.

Strong

"I'm sorry the backup came back so soon, John — that's not the result we stand behind. I'd like to make it right and re-camera the line at no charge. Please call me directly at [phone] and ask for [Owner]."

Weak

"This is not accurate. Our tech noted the line was fine when he left, and you declined the jetting we recommended. We can't be responsible for that."

Reply fast, in your own voice

A reply within a day or two shows you're paying attention. Keep it short, human, and signed. Skip the corporate script — homeowners can smell a template.

Example structure

Acknowledge (name + what happened) → take responsibility or say thanks → offer the next step (make it right / come back anytime) → sign it with a real name.

Turn a fair complaint into proof you fixed it

When you genuinely resolve it, a short follow-up reply shows future readers you close the loop — that's more convincing than never having a complaint at all.

Strong

"Update: we came back out, jetted the full line, and confirmed it clear on camera. Thanks for giving us the chance to make it right, John."

Real example from the field

Trust Rooter Plumbing & Drain Cleaning (Pompano Beach, FL) replies to its reviews by name and references the exact service — thanking a customer for trusting them with a hydrojetting job and a kitchen-drain fix — which is exactly the specific, human tone that reassures the next reader.

Do this: reply to your last 10 reviews today — name the service and city on the good ones, and calmly offer to make it right on any bad one.

Next up Step 23 — Answer & Book Fast. A missed call is a lost job. The booking process that turns rings into appointments.
